Refund & Cancellation Policy
Clear, transparent terms regarding your software subscription, billing cycles, and cancellation rights.
1. Subscription Terms
YourMedSoft operates on an auto-renewing subscription model. Depending on the plan you selected at checkout, your billing cycle will be either monthly or annual. By entering your payment method, you authorize YourMedSoft (via our payment processor, Stripe) to automatically charge the applicable subscription fees at the start of each billing cycle.
2. Cancellation Process
You may cancel your subscription at any time. To cancel, organization administrators must navigate to Settings > Billing within the YourMedSoft admin portal and select "Cancel Subscription." Upon cancellation, your agency will retain full access to the platform until the end of your current paid billing period. We do not prorate cancellations that occur in the middle of a billing cycle.
3. Refund Eligibility
Given the digital nature of the YourMedSoft SaaS platform and the immediate provisioning of infrastructure and resources upon sign-up, we do not offer refunds for payments already processed.
Exceptions to this policy are strictly limited to:
- Billing errors caused by our payment processor (e.g., duplicate charges).
- Significant, prolonged breaches of our Service Level Agreement (SLA) as outlined in your Master Subscription Agreement, which may entitle you to service credits rather than a cash refund.
Annual plans are heavily discounted; if you choose to terminate an annual contract early, you are not entitled to a prorated refund for the unused months.
4. Data Retention After Cancellation
After your subscription expires following a cancellation, your account will enter a suspended state. You will have a 30-day grace period to export your agency's data (including clinician records, timesheets, and credentials). After this period, in compliance with our data minimization principles and the DPA, your data may be permanently deleted from our active databases unless legal or compliance obligations dictate otherwise.
5. Contact Billing
If you believe you have been billed in error, or if you need assistance managing your subscription, please contact our billing team immediately at billing@yourmedsoft.com. Disputes raised through your credit card issuer (chargebacks) without first attempting to resolve the issue with our support team may result in immediate suspension of your agency's account.
