How do I send direct SMS text messages to staff from the portal?

Use the built-in Send SMS portal module powered by Telnyx to send organization-branded text messages directly to active clinicians and staff members.

Direct Operational Answer

To send a direct SMS text message in YourMedSoft, navigate to Send SMS in the portal sidebar (/portal/sms), select an active team member from your organization dropdown, enter your message (up to 1,000 characters), and click Send Message. The platform verifies multi-tenant organization membership, prefixes your organization name automatically, and dispatches the text via Telnyx.

What You Need Before Starting

  • Signed in as an Organization Owner or Administrator (org_owner, org_admin, or admin).
  • Target staff member must have an active profile with a valid mobile phone number saved in your organization.

Clinical & Regulatory Compliance Standards

  • Complies with TCPA and CTIA 10DLC healthcare staffing messaging guidelines.
  • Never include patient Protected Health Information (PHI) such as patient names, room numbers, or diagnoses in standard SMS text messages.

Step-by-Step Instructions

1

Open the Send SMS Module

In the left portal sidebar under the "People" section, click "Send SMS" to open the direct messaging console (/portal/sms).

UI: Sidebar > People > Send SMS
2

Select an Organization Team Member

Open the "Recipient" dropdown. The system automatically queries active user profiles scoped to your organization that have a registered mobile phone number, sorted alphabetically by name.

UI: Dropdown: Select a team member...
If a clinician does not appear in the dropdown, verify that their profile is active and has a phone number saved under Settings > User Management or My Profile > Contact Details.
Operational Automation

Reach Clinicians Instantly via Direct Telnyx SMS & Dispatch Chat

Send organization-branded SMS texts directly from the portal and dispatch 1-tap unit door codes and shift alerts without personal phone trees.

3

Compose Your SMS Message

Type your message in the Message box (up to 1,000 characters). A live character counter in the bottom-right corner tracks your message length.

UI: Textarea: Message (0 / 1000)
4

Automatic Organization Branding Prefix

You do not need to type your agency name manually. When sent, YourMedSoft automatically prepends "[Your Organization Name]" to the top of the SMS body so clinicians immediately recognize who is texting them.

5

Send and Verify Delivery

Click "Send Message". The server verifies your Firebase ID token, confirms the recipient belongs to your exact organization tenant, and dispatches the message through the Telnyx SMS gateway.

UI: Button: Send Message

Pro-Tips & Best Practices

  • Direct SMS is restricted to Organization Owners and Admins to prevent unauthorized mass texting and protect carrier compliance.
  • For real-time floor coordination (door codes, parking instructions, unit handovers) that coordinators and clinicians both need to reply to in-app, use the floating Dispatch Chat drawer on the right edge of the screen.

Troubleshooting & Operational Edge Cases

Issue: "No users with phone numbers found in your organization"

Operational Resolution: Have your staff add their mobile number in My Profile > Contact Details, or update their profile under Settings > User Management.

Issue: "Access Restricted: Only administrators can send SMS messages"

Operational Resolution: Direct SMS dispatch requires Admin or Organization Owner permissions. Ask your organization owner to upgrade your role tier if needed.

Frequently Asked Questions & Troubleshooting

Can I send an SMS to a phone number outside my organization?

No. For multi-tenant security and TCPA compliance, the /api/send-sms endpoint strictly verifies that the recipient phone number belongs to a user profile with the same organizationId as the sender.

How are delivery statuses and inbound replies handled?

YourMedSoft processes Telnyx webhook events (/api/webhooks/telnyx) for message.sent, message.delivered, message.failed, and incoming message.received events.
