How do I complete my onboarding checklist?
Clinicians: see everything your agency needs before you can work, upload documents, submit licenses, sign policies and fix returned items, all from My Profile → Onboarding.
In YourMedSoft, clinicians open My Profile → Onboarding to see their checklist and progress. They upload documents (PDF, JPG, PNG or WebP up to 20 MB), submit licenses with the number and issuing state, and sign policies by typing their full legal name. Staff review each item; returned items show the reason so the clinician can resubmit. Until all required items are complete, the clinician cannot claim shifts.
What You Need Before Starting
- A YourMedSoft login from your agency (use the same email your agency has on file).
- Your documents ready to photograph or scan (license, certifications, TB result, immunization records, ID).
Step-by-Step Instructions
Open your checklist
Go to My Profile and choose the Onboarding tab, or click "Open checklist" on the reminder banner on your Dashboard or My Shifts page.
Check your progress
The top card shows how many required items are complete and your status: "Onboarding" until everything required is done, then "Ready to work". Items are grouped into sections such as Licensure, Health & immunizations and Policy acknowledgments. Each item shows its status and any due date.
Automate Your Healthcare Staffing Operations
YourMedSoft unifies scheduling, GPS time tracking, credentialing, and facility invoicing into one modern platform for healthcare agencies.
Upload a document
On a document item (for example TB screening), click Complete, choose your file (PDF, JPG, PNG or WebP, up to 20 MB), add the expiration date if it has one, and click Submit. It shows "Awaiting review" until your agency approves it.
Submit a license or certification
On a license or certification item, click Complete, upload a clear copy, and enter the expiration date, license or certificate number and issuing state. Your agency verifies it with the issuing board before it is marked Complete.
Sign a policy
On a policy item (for example HIPAA acknowledgment), click "Review & sign", open "Read the policy" if a link is provided, type your full legal name and click Sign. Your typed name, the date and time are recorded as your signature.
Fix a returned item
If an item shows "Returned", read the reason underneath (for example "Image is blurry"), click Complete again, upload a corrected document and Submit.
Items your agency completes
Some items, such as the I-9, drug screen, background check or references, are completed by agency staff. You will see their status but no Complete button. Contact your recruiter if one of these is holding you up.
Pro-Tips & Best Practices
- Take photos in good light, flat on a table, with all four corners visible.
- Use the Update button to send a renewed document before the current one expires.
- Health records, I-9 and background documents are restricted: only you and your agency’s administrators can view them.
Troubleshooting & Operational Edge Cases
Issue: Upload fails with a permission error
Operational Resolution: Your login may not be linked to your staff record yet. Ask your agency to check that they invited you with the same email address they have on file, or send them the document to upload for you.
Issue: My checklist says "Staff record not found"
Operational Resolution: Your agency has not created your staff record yet, or it uses a different email address. Contact your recruiter.
Frequently Asked Questions & Troubleshooting
Why can’t I claim shifts?
One or more required items are not complete, have been returned, or have expired. Open My Profile → Onboarding to see which. Once they are approved you can claim shifts straight away.
What does Overdue mean?
The item is past the due date your agency set. Complete it as soon as possible, or contact your recruiter.
What happens when something expires?
The item changes to Expired and counts as incomplete again. Upload the renewed document with Update or Complete.
Who can see my documents?
Your agency’s staff can see your checklist. Restricted documents (health records, I-9, background reports) can only be opened by you and your agency’s administrators.
